Trainee Administrator

We are recruiting a Trainee Administrator for Accountants based in Glasgow’s West End.

 

 

Key Duties and Responsibilities:

  • Reception duties including greeting clients
  • Making tea and coffee for meetings, clearing boardrooms and washing dishes
  • Answering telephone, transferring calls, taking messages from clients
  • Opening, scanning and distributing mail
  • Typing including using Outlook, Word and Excel packages
  • Using franking machine
  • Sending out office mail and taking to post office
  • Collecting files from/delivering files to clients
  • Filing documents both paper and electronic
  • Photocopying
  • Faxing documents
  • Supervising office equipment including ordering parts, taking meter readings
  • Boxing old files, adding them to database and sending offsite
  • Requesting files back from storage
  • Gathering shredding and arranging collection by outside facility
  • Ordering water and updating database
  • Ordering office stationery/light bulbs/cleaning supplies
  • Assisting with changing light bulbs
  • Creating purchase orders
  • Banking
  • Going for milk and other miscellaneous office supplies

 

Qualifications and Qualities:

  • Minimum National 5 in English and Maths
  • Good organisational skills
  • Experience using Microsoft packages such as Word and Excel
  • Confident with good telephone manner

Trainee Payroll Administrator

Admin assistant

All general administration tasks including:

  • Scanning incoming mail
  • Dealing with outgoing mail
  • Helping with the processes of onboarding new clients
  • Preparing and sending letters either by post or electronically
  • Reception duties including welcoming clients to the office, making teas & coffees and answering the phone
  • Assisting team members with any additional admin duties required

 

Payroll trainee

Day to day tasks:

  • Prepare monthly payrolls for review by payroll manger
  • Maintain payroll processing systems and records by gathering, calculating, and inputting data
  • Identifies, investigates, and resolves discrepancies in timesheet and payroll records
  • Completes payroll reports for record-keeping purposes or managerial review
  • Adheres to payroll policies and procedures and complies with relevant law
  • Prepare monthly PAYE emails for review by payroll manager
  • Dealing with monthly pension uploads
